Are you still creating transmittal reports manually?

Read why you should be automating this process and how to do it

Whether you are creating transmittal sheets because it’s contractually required or whether you do it as best practice to protect your business in the event of dispute, the effort required to assemble them manually and the potential for mistakes should not be underestimated.

A single transmittal can take anything up to a number of hours or even days to assemble as you have to: assemble the correct versions of all the files, make sure the revision and suitability codes (if BS 1192) are updated on the title blocks of drawings and then create or update a transmittal table (typically a spreadsheet) with the details from the documents, along with who they are being sent to, the purpose, how they are to receive it etc. You will then often have to upload the files to an extranet and potentially key-in the information about the files once more.

Trust today is justified when it’s placed in technology. Machines and systems don’t make human errors, only humans do, so we should make more use of it to reduce effort and errors.

Document and drawing management software can automate most of the above for you; making the title block changes, assembling a transmittal based on what you sent previously, allowing you to add/remove documents and recipients and upload them and their metadata to the project extranet, all whilst maintaining a record of what was sent and when ensuring that you have a reliable audit trail.

Watch our short video to see how our document and drawing management software Excitech DOCS eliminates the pain in manual creation of transmittals by automatically assembling them for you.
